1. What we collect

• Account details: your name, email address, and a securely hashed password (we never store or can see your actual password).
• Business details: the business name, industry, base currency, and financial year you set up.
• The figures you log: income, cost of sales, operating expenses, capital expenditure, and future booking amounts, plus the dates, currencies, and notes attached to them.
• Team & activity: who you invite, what they're allowed to see and update, and a log of who changed what and when.

2. How we use it

We use this information to run the Service for you: to log you in, show your dashboard and reports, calculate the totals, ratios, and estimates RoiAI displays, keep your team's activity log, and let you export reports. We don't use your business figures for any purpose beyond providing the Service to you and the team members you've given access to your business.

3. Who can see your data

Your business's figures are visible only to people you or the business owner invites, according to the permissions they're given (an Owner sees everything; a Contributor may only see and update the specific lines they've been given access to). We don't sell your data or share it with advertisers. We may share it with the infrastructure providers that host our database and application (for example, our cloud hosting and database provider), solely to operate the Service, and where required by law.

4. How we store it

Your data is stored in a managed database. Passwords are hashed before storage — we never store them in plain text. Your session is kept using a secure, encrypted cookie so you stay logged in between visits.

5. How long we keep it

We keep your account and business data for as long as your account is active. If you'd like your account or business data deleted, contact the person who administers your RoiAI account, or reach out to us directly.

6. Your rights

You can ask to see what personal data we hold about you, correct it if it's wrong, or ask us to delete it, subject to what we're required to keep for legal or accounting reasons. To make a request, contact your account administrator or reach out to us directly.

7. Cookies

RoiAI uses a small number of essential cookies to keep you signed in and remember which business you're viewing. We don't use advertising or tracking cookies.

8. Children

RoiAI is intended for business owners and their staff, and isn't directed at children.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll make a reasonable effort to let you know.
